Meeting room or conference room: what is the difference?
In daily use the two terms are often interchangeable, but for planning they differ. A meeting room is a compact space with a single table, typically for 6–10 people, used for team meetings and interviews. A conference room is larger, can be arranged in rows or theatre style, is equipped for presentations with a projector and sound system, and changes layout as attendance grows. Centrum Plaza covers both needs: OPAL and TURKUAZ work as meeting rooms, while YAKUT, KUVARS, AMBER and SAFİR are planned as conference rooms with increasing capacity.
What to consider when choosing a meeting room
The right room directly affects meeting performance. Alongside the number of attendees, consider the seating layout, presentation needs, lighting, acoustics and catering plan. Key points: floor area for comfortable movement, projector and screen position, microphone requirements, wireless internet capacity, water and notepads in the room, the location of the catering area if you plan a break, and the setup time reserved before the meeting. Transport and car park density should also be factored in according to the start time.
How many people should your meeting room hold?
The table below summarises the floor area, seating capacity and default layout of each room. When attendance approaches the upper limit, moving to the next capacity provides extra space for presentations and catering.
| Room | Area | Capacity | Layout |
|---|---|---|---|
| OPAL | 25 m² | 6 people | Single table |
| TURKUAZ | 24 m² | 8 people | Single table |
| YAKUT | 46 m² | 17 people | U-shape |
| KUVARS | 63 m² | 31 people | Rows / U-shape |
| AMBER | 84 m² | 43 people | Rows / U-shape |
| SAFİR | 104 m² | 100 people | Theatre (rows) |
The meeting room rental process, step by step
The rental process runs in three steps. First, choose the room and the date; days and packages shown as booked in the calendar are not available, so selecting alternatives speeds up planning. Second, choose the package (morning 09:00–12:00, afternoon 13:00–17:00 or full day 09:00–17:00) and services (coffee break, set-menu lunch). Third, enter your contact and corporate invoice details and send your request. Our management team reviews it, confirms availability and the room is prepared for the scheduled time.
Technical equipment and support
All rooms include a projector, HDMI connection, wireless internet, whiteboard, water, notepads and pens. Sound systems, microphones and a lectern are added according to capacity. Setup, cabling, presentation testing and layout changes are handled by our technical team before your meeting. If you are planning a hybrid meeting, simply note your camera and connection requirements in the request.
Catering, coffee breaks and lunch
Catering can be planned according to the length of the meeting. The coffee break includes simit, poğaça and açma pastries, mini sandwiches and mini pizzas in the morning; sweet and savoury cookies and unlimited tea and coffee in the afternoon. Lunch is served as a set menu in our restaurant: soup, a main course (meat, chicken or vegetarian), a side dish, a vegetable dish in olive oil, salad, dessert or fruit and one soft drink. Please note allergies or special menu requests in the notes field of your reservation.
Transport, parking and location
Centrum Plaza is located on Sanayi Street in Aydınevler, Maltepe. It is within walking distance of Küçükyalı Metro station and about 2 km from the E-5 (D100) motorway; the İETT Mavi Evler bus stop is in front of the building. The building has an indoor car park and valet service; for large meetings you can ask our team for parking guidance for your guests.
Corporate meeting scenarios
Rooms are planned for different meeting types: single-table rooms for weekly team meetings and interviews; U-shape layouts for department meetings and training; rows or theatre layout for product launches, dealer meetings and general assemblies. Training programmes can use one desk per participant, workshops group tables, and jury or panel sessions a lectern layout. Capacity and technical requirements are evaluated together for each scenario.
Practical advice for productive meetings
Sharing the agenda in advance, testing presentations before uploading them, confirming attendance and matching the catering break with the agenda all make the meeting flow smoother. For larger meetings you can ask our team for registration desk and signage support. Reserving 20–30 minutes for setup ensures the presentation and sound system are checked.
Common planning mistakes
The most common planning mistakes are choosing a room that is too small for the attendance, misaligning catering breaks with the agenda, leaving technical needs (microphone, lectern, camera) to the last minute and overlooking transport and parking time. Clarifying these four points during reservation prevents time loss on the day of the meeting. Two further mistakes are frequent: leaving the attendee list to the last day (catering and seating are built around it) and not planning exit and transport after the meeting. With large meetings, anticipating when your guests will leave the building also frees space for post-meeting conversations.
When should a meeting room be booked?
The booking window depends on the type of meeting. Short internal team meetings can usually be planned a few days ahead, while training programmes, general assemblies and launches with larger attendance benefit from a two to three week planning window. In periods when year-end reviews, budget presentations and dealer meetings cluster, rooms fill faster, so sending a request with alternative dates speeds up the process. Once your request is approved the room plan is confirmed, and you can share your invitations and agenda with confidence.
Which package fits: morning, afternoon or full day?
The morning package (09:00–12:00) suits early meetings, team reviews and interviews. The afternoon package (13:00–17:00) is preferred for training, presentations and client meetings. The full day package (09:00–17:00) is planned for all-day training, workshops, jury sessions and general assemblies. For full-day meetings the lunch break catering is planned separately, so attendees return to the same room for the afternoon session.
Privacy, security and welcoming guests
Meeting rooms are available only to the reservation holder; room plans and seating details are not shared with third parties. The building has reception and security service at the entrance, and your guests are directed from the welcome desk. The attendee list is kept in the reservation record and can be shared with our team for guest welcoming. For confidential meetings, board sessions and interviews, room selection and the welcome flow can be planned separately by our team.
Meeting room glossary
Seating terminology makes a real difference in planning. A single-table layout is used in 6–10 person meeting rooms. A U-shape layout suits 17–43 person meetings where presentation and discussion alternate, a classroom layout is used in training where attendees take notes, and a theatre (rows) layout is chosen for presentations with up to 100 attendees. A coffee break means the interim catering, a set menu is the lunch served in our restaurant, a workshop is a hands-on group session, and a hybrid meeting is one where in-room attendees and remote participants take part at the same time.
